NHS Lothian is hiring a contractor to deep clean their hospital and community kitchen facilities 2-3 times per year across seven sites in Scotland. The work includes removing grease and burnt-on food residues from kitchen equipment, disinfecting surfaces, and providing certificates to prove the work is done.
Requirements
- Must be able to service seven different NHS Lothian kitchen sites across Edinburgh and East Lothian
- Must use food-safe, non-corrosive, and environmentally friendly cleaning chemicals
- Must provide specialist equipment suitable for deep cleaning hospital kitchens
- Must be able to dismantle and reconnect kitchen equipment safely
- Must provide a final clean report and certificate of cleanliness after each clean
- Must safely bag and remove all waste to appropriate disposal facilities
- Must be able to access and clean high-level areas (likely high-level work at height requirements)
- Services required 2-3 times per year at each site (full schedule in Appendix 2 of tender documents)
Key Tasks & Deliverables
- Clean canopies, filters, and extraction systems at seven kitchen sites
- Decarbonise (remove burnt-on residue from) fryers, ranges, and other heated cooking equipment
- Disinfect all food preparation surfaces, fittings, and equipment to hospital hygiene standards
- Safely dismantle and reconnect kitchen equipment to access difficult-to-reach areas
- Clean high-level areas and hard-to-reach spaces
- Remove and dispose of all waste generated during cleaning at licensed facilities
- Produce a written clean report and official certificate of cleanliness after each visit
How to Read This Tender
- 1Check Appendix 2 carefully — this shows you exactly when cleans happen during the year and at which sites; this determines how you'll schedule your team and plan capacity
- 2Food-safe chemicals are non-negotiable in NHS settings — make sure your current cleaning products meet hospital food safety standards or budget for approved alternatives
- 3The mention of dismantling/reconnecting equipment suggests you'll need staff trained in kitchen equipment; if you don't have this expertise, budget for specialist contractors or partner with someone who does
- 4High-level work likely means you'll need working-at-height equipment and training (scaffolding, ladders, or access platforms); confirm this in the full tender documents and cost it properly
- 5The certificate of cleanliness is a legal requirement for NHS sites — clarify exactly what this document must include and who signs it off, as this will affect your quality processes
Tips for Small Businesses
- If you don't have experience with kitchen equipment disconnection or working-at-height, consider partnering with a specialist subcontractor for those elements rather than turning down the bid — NHS procurement often welcomes supply chain collaboration
- Hospital cleaning contracts are usually framework agreements or recurring 1-2 year deals with extension options; if you win this, it provides predictable revenue, so price competitively but sustainably to keep the contract long-term
- Check whether NHS Lothian awards points for social value (local employment, apprenticeships, environmental practice) — emphasising your use of eco-friendly chemicals and any local team members could strengthen your bid
