Overview
You are invited by Acivico (Design, Construction and Facilities Management) Limited to apply to join this Dynamic Purchasing System (DPS) for the procurement of Fire Safety Services, to support new and existing client accounts in the West Midlands Region, when such opportunities become available. Where the DPS is considered the most appropriate route to market, all suppliers/contractors who are registered on this DPS (Stage 1 of the procurement process) will be invited to bid for work through further competitions (Stage 2 of the procurement process).
Work will only be awarded through further competitions. There is no provision for a Direct Award under a DPS.
It is anticipated that the annual value of work awarded through this DPS will be in the region of two million pounds sterling per annum. Further details about the DPS is given in Section 3 of Document 1. While an indicative timetable from the original publication of this DPS is included in Section 6 of Document 1, potential suppliers should note that applications to be admitted to this DPS may be submitted at any time prior to the end of the DPS in 2032.
AI Analysis

Acivico (a design, construction and facilities management company) is building a list of approved fire safety service providers for work across the West Midlands. If you join this list, you'll be invited to bid on fire safety jobs as they come up — there's estimated to be around £2 million worth of work per year available through this system until 2032.
Requirements
- Must be able to provide fire safety services
- Must be able to operate in the West Midlands region
- Must be able to respond to competitive tender invitations (Stage 2 bidding process)
- No direct award provision — you must compete for each job opportunity
- Must remain registered and active on the DPS to receive future work invitations
- Check full tender documents (Document 1, Section 3) for specific technical and compliance requirements
Key Tasks & Deliverables
- Deliver fire safety services to Acivico's new and existing client accounts in the West Midlands
- Respond to competitive bids issued through the DPS when work opportunities are released
- Maintain compliance and service standards as defined in the DPS terms
How to Read This Tender
- 1This is a two-stage process: Stage 1 is getting on the approved list (this application); Stage 2 is competing for actual work. Being approved doesn't guarantee work — you must bid and win competitions.
- 2A DPS (Dynamic Purchasing System) is essentially a vetted supplier list that the buyer uses repeatedly over time, rather than a single fixed contract. Read Section 3 of Document 1 carefully to understand how work will actually be offered.
- 3The DPS runs until 2032, but applications can be submitted anytime before that end date — you're not locked into one submission window.
- 4Check Section 6 of Document 1 for the indicative timetable, but note it's indicative — expect timelines to shift as work comes in.
- 5Focus on demonstrating your fire safety expertise, West Midlands regional capability, and ability to respond quickly to competitive tender invitations.
Tips for Small Businesses
- Joining a DPS is low-risk at Stage 1 — you're just getting on a list. The real commitment comes when you start bidding for jobs in Stage 2. Apply if you have fire safety capacity, but budget time and resources for competitive bidding when opportunities arrive.
- With £2 million estimated annual value, this could be significant recurring work if you win tenders regularly. Consider whether you can sustainably handle multiple concurrent fire safety projects across the region.
- Ask Acivico upfront: How many suppliers will be on this DPS? What's the typical bid frequency and project size? This affects your chances of winning work and the effort required to stay competitive.
